Palm Beach Retreat Terms & Conditions

1. Agreement to Terms By registering and submitting payment for the Mark Your Mahjong Palm Beach Trip (the“Event”), you (“Attendee”) acknowledge that you have read, understood, and agree to be bound by these Terms and Conditions (“Agreement”). This Agreement constitutes a legally binding contract between you and Mark Your Mahjong, LLC (“Company,” “we,” or “us”).

2. Event Details
The Event is organized and operated by:
Mark Your Mahjong, LLC
Event: Palm Beach Mahjong Retreat
Dates: November 3–6, 2026 (3-night stay)
Location: The Colony Palm Beach

What Is Included

  • Mahjong Night at Mary Lou's (exclusive to retreat attendees)
  • HIVE Bakery Mahjong with Mimosas Brunch mini tournament
  • Pilates class
  • Welcome Mahjong Soirée with cocktails + appetizers
  • 3-night Hotel Stay at The Colony Palm Beach (Single or Double Occupancy)
  • Elevated swag bag for each attendee 
  • All Mahjong Playing Essentials (tiles, mats, racks- BYOC*)

What Is NOT Included

  • Airfare or any transportation to/from Palm Beach
  • Meals (with the exception of the Welcome Mahjong Soirée appetizers & HIVE Bakery Mahjong with Mimosas Brunch)
  • Personal expenses, gratuities, or incidentals
  • BYOC- bring your own 2026 National Mahjong League Card

3. Registration & Payment
The trip fee is between $3,000 and $6,000 per person, as displayed at the time of registration on our website. The exact amount will be confirmed at checkout. All fees are quoted in U.S. dollars.

Payment Process
Payment is collected securely through our website at the time of registration. By completing payment, you confirm your spot on the trip. The Company will use collected funds to pay the hotel and coordinate all included activities on behalf of Attendees.

Payment Deadline
Full payment is required at the time of registration.

4. Cancellation Policy & Refunds
Cancellation by Attendee
We understand that plans change and life happens. However, because the Company must commit to hotel blocks and vendor contracts in advance, all payments are subject to the following cancellation schedule:
• Cancellation 90+ days before departure (on or before August 5, 2026): Full refund minus a $250 administrative fee.
• Cancellation 60–89 days before departure (August 6 – September 3, 2026): 50% refund of the total trip fee paid.
• Cancellation 30–59 days before departure (September 4 – October 3, 2026): 25% refund of the total trip fee paid.
• Cancellation fewer than 30 days before departure (October 4, 2026 – November 3,
2026): No refund.

To cancel, Attendee must notify the Company in writing via email to Ashely@markyourmahjong.com. Cancellations are effective on the date the written notice is received.

Substitutions
Attendees who are unable to attend may transfer their spot to another eligible person, subject to Company approval, at no additional fee if requested at least 30 days before the Event.

Substitution requests within 30 days of departure are subject to a $100 processing fee and availability.

No-Show Policy
Attendees who fail to arrive without prior written notice are considered a no-show and are not entitled to a refund of any kind.

5. Cancellation or Modification by the Company
The Company reserves the right to cancel the Event at any time. If the Company cancels the Event for reasons within its control (e.g., insufficient enrollment), Attendees will receive a full refund of all payments made to the Company. The Company will not be liable for any additional costs incurred by Attendees, including but not limited to airfare, travel insurance, or other bookings.

Force Majeure
The Company shall not be held liable for cancellation, postponement, or modification of the Event due to circumstances beyond its reasonable control, including but not limited to: acts of God, natural disasters, pandemics, government-mandated travel restrictions, war, terrorism, strikes, or any other event constituting force majeure (“Force Majeure Event”).


In the event of a Force Majeure cancellation, the Company will make commercially reasonable efforts to reschedule the Event and apply payments to the rescheduled dates. If rescheduling is not possible, the Company will refund amounts it is able to recover from hotels and vendors, less any non-recoverable costs already incurred. The Company will not be responsible for any losses beyond the amounts actually received and not yet spent.

Hotel Non-Performance

In the event that the contracted hotel is unable to fulfill its obligations (e.g., overbooking,
property damage, closure, or any other reason), the Company will make reasonable efforts to secure comparable alternative accommodations. If comparable alternatives are not available or acceptable:
• The Company will refund the accommodation portion of the trip fee to the extent funds
are recovered from the hotel.
• The Company’s total liability to Attendees shall not exceed the actual amounts the
Company is able to recover from the hotel or its insurance.
• The Company shall not be liable for any incidental, consequential, or indirect damages,
including lost airfare or personal expenses.

Activity Modifications

The Company reserves the right to substitute, modify, or cancel individual activities (Mahjong sessions, classes, nightclub event, etc.) due to vendor unavailability, weather, or other circumstances. Where possible, comparable alternatives will be offered. No partial refunds will be issued for individual activity changes unless the Company is unable to provide a reasonable alternative.

6. Limitation of Liability & Release
To the fullest extent permitted by applicable law, Mark Your Mahjong, LLC, its owners, officers, employees, agents, and contractors shall not be liable for any injury, illness, death, loss, damage, delay, or expense arising out of or in connection with the Event, including but not limited to:
• Acts or omissions of third-party vendors (hotels, activity providers, transportation
companies)
• Personal injury or property damage sustained during the Event
• Theft, loss, or damage to personal belongings
• Any costs, expenses, or losses resulting from Event changes or cancellations
By registering, Attendee expressly releases and discharges the Company from any and all such claims, demands, actions, or causes of action.

7. Attendee Responsibilities
• Attendees are responsible for ensuring they have valid identification and any required
travel documents.
• Attendees are responsible for arranging their own transportation to and from Palm
Beach.
• Attendees agree to conduct themselves respectfully toward other guests, hotel staff,
vendors, and the Company’s representatives at all times.
• The Company reserves the right to remove any Attendee from the Event for disruptive,
harmful, or inappropriate behavior without refund.
• Attendees with medical conditions, dietary restrictions, or special needs must disclose
relevant information to the Company in advance and are responsible for managing their
own needs during the Event.

8. Health & Safety
Attendees acknowledge that participation in certain activities (Pilates, nightclub events, etc.) involves inherent risks. Attendees agree to participate at their own risk and represent that they are in suitable health to participate. The Company is not responsible for injuries sustained during optional activities.
The Company reserves the right to modify or cancel activities if health or safety concerns arise during the Event.

9. Privacy & Photography
By attending the Event, Attendees consent to being photographed or filmed for promotional, social media, and marketing purposes by the Company. If you do not wish to be photographed, please notify the Company in writing prior to the Event.
The Company will handle all personal data collected during registration in accordance with applicable privacy laws and will not sell Attendee data to third parties.

10. Governing Law & Dispute Resolution
This Agreement shall be governed by and construed in accordance with the laws of the State of Texas, without regard to its conflict of law provisions. Any dispute arising out of or relating to this Agreement shall first be subject to good-faith mediation between the parties. If mediation is unsuccessful, disputes shall be resolved by binding arbitration in accordance with the rules of the American Arbitration Association. Venue shall be in the county where the Company is domiciled. Nothing in this section shall prevent the Company from seeking injunctive or other equitable relief in a court of competent jurisdiction.

11. Modifications to These Terms
The Company reserves the right to update or modify these Terms and Conditions at any time. Attendees will be notified of material changes via the email address provided at registration. Continued participation in the Event after notification constitutes acceptance of the updated terms.

12. Entire Agreement

This Agreement constitutes the entire agreement between the Attendee and Mark Your
Mahjong, LLC with respect to the Event and supersedes all prior communications,
representations, or agreements, whether oral or written.

Changes to the Terms of Use

We may revise and update these Terms of Use from time to time in our sole discretion. All changes are effective immediately when we post them, and apply to all access to and use of the Website thereafter. 

Your continued use of the Website following the posting of revised Terms of Use means that you accept and agree to the changes. You are expected to check this page so you are aware of any changes, as they are binding on you.
